Job Summary:
We are seeking a diligent and detail-oriented Basic Bookkeeper to join our team. The
Bookkeeper will be responsible for managing the financial transactions of the Peoria Art Guild,
ensuring accuracy and compliance with financial regulations and organizational policies.

Salary:
Commensurate with experience.

About Us:
The Peoria Art Guild is a non-profit arts organization dedicated to fostering the arts and
promoting creativity within the Peoria community. We offer a wide range of exhibitions,
educational programs, and community events aimed at inspiring and supporting local artists and
art enthusiasts.

Key Responsibilities:
• Maintain accurate financial records and ensure all financial transactions are properly recorded including sales, purchases, receipts, and payments.
• Filing and maintenance of paper records in accordance with document retention policies and best practices.
• Process accounts payable and receivable in a timely manner.
• Reconcile bank statements, credit card activity and prepare monthly financial reports one week prior to the monthly Board Meeting, and as requested.
• Assist in the preparation of the annual budget and financial statements.
• Monitor cash flow and manage petty cash.
• Prepare and file financial documents, including invoices, receipts, and expense reports.
• Process bi-weekly payroll using Quickbooks Online and Maintain employee records.
• Coordinate with external auditors and provide necessary documentation for annual audits and tax returns.
• Ensure compliance with all relevant financial regulations and standards.

• Provide support for grant management, including tracking expenses and preparing financial reports for grants.
• Collaborate with other staff members to support the financial needs of the organization.
• Process and print checks in house.
• Complete Quarterly State Income Tax reporting.
• Ensure monthly payroll tax and sales tax payments are accurate and submitted in a timely manner.
• Process Independent Contractors and track 1099 payments.
• Prepare W2s and 1099s.
• Complete Workman’s Comp reporting.
• Complete Illinois Business Certificate annual registration.
• Communicate with our accountant as needed.

Qualifications:
• High school diploma or equivalent required; Associate’s or bachelor’s degree in accounting, Finance, or a related field preferred.
• Minimum of 2 years of bookkeeping or accounting experience, preferably in a non- profit organization.
• Proficiency in accounting software (e.g., QuickBooks, QuickBooks Online) and MS Office Suite, especially Excel.
• Strong understanding of basic accounting principles and practices.
• Excellent attention to detail and organizational skills.
• Ability to work independently and as part of a team.
• Strong communication and interpersonal skills.
• Familiarity with non-profit financial management and grant reporting is a plus.
