Wheels O’ Time: Executive Director

The Executive Director is the key management leader of Wheels O’ Time Museum (Museum), a nonprofit organization. The Executive Director is responsible for overseeing the administration, operations, programs, staff, and strategic plan of the organization. Other key duties include fundraising, marketing, and community outreach. The position reports directly to the Board of Directors.

General Responsibilities:
1) Governance:
• Responsible for communicating effectively with the Board and providing, in a timely and accurate manner, all information necessary for the Board to function properly and to make informed decisions in accordance with the mission of the museum.
• Responsible for the Museum’s financial results, including donations, all other income, and all expenses.
• Monitor the schedule and the timely submission of all required reporting to the IRS, State of IL, Peoria County, and any other required governmental organizations. Work with the Museum’s Bookkeeper, Treasurer, Finance Committee, and other board members as needed to create the required documents.
2) Financial Performance and Viability:
• Maintain full transparency in all financial transactions.
• Work closely and collaboratively with Board Treasurer and Finance Committee.
• Responsible for fiscal management to operate within the approved budget, maximize resource utilization, and maintain a positive financial position.
• Responsible for fundraising and securing financial support from foundations, corporations, individual donors, government, and vendors.
• Maintain records of all income received into the organization.
• Provide timely receipts and acknowledgments of all donations and in-kind services.
• Submit timely data for payments for all invoices and monthly expenses to bookkeeper; ensure that disbursements follow all internal controls. Share check detail report routinely with Operations Committee and Board.
• Prepare key metrics to evaluate the viability of the museum as a nonprofit organization (i.e. public support status)

3) Mission and Strategy:
• Responsible for implementation of Museum’s programs that carry out the organization’s mission.
• Work with the Board to establish a strategic plan that ensures WOTM can successfully fulfill its mission into the future.
• Responsible for the enhancement of Museum’s image by being engaged with the community, and by working closely with other professional, civic, and private organizations.
4) Operations:
• Encourage volunteer recruitment and engagement.
• In coordination with the WOTM Board, is responsible for the hiring and retention of competent, qualified staff.

Specific Job Responsibilities:
1. Lead the process to develop and execute the annual budget with the Board of Directors
2. Develop and execute a fundraising plan and execute the plan to meet established goals
3. Develop and execute a communications plan to reach donors and potential donors
4. In conjunction with the Museum Treasurer, maintain a history of donations, donors, and donor contact information
5. Manage the Museum’s membership program
6. Coordinate utilization of Square point of sale system for admissions and gift sales, including inventory and reporting
7. With Board approval, establish employment and administrative policies and procedures for all functions and for the day-to-day operation of the Museum
8. Manage the insurance for the Museum
9. Serve as Wheels O’ Time Museum’s primary spokesperson to the organization’s constituents, media, and the general public
10. Establish and maintain relationships with various organizations throughout the state and utilize those relationships to strategically enhance the Museum’s Mission
11. Report to and work closely with the Board of Directors to seek their involvement in policy decisions, fundraising, and increasing the overall visibility of Wheels O’ Time Museum
12. Hire and supervise all staff
13. Recruit, supervise, train, and collaborate with and volunteers
14. Attend Wheels O’ Time Museum Board Meetings
15. Attend Museum committee meetings, as appropriate

16. Oversee marketing and other communications efforts
17. Plan and coordinate special events designed to increase awareness and attendance
18. Manage social media accounts and posts
19. Review and approve contracts for services
20. Other duties as assigned by the Wheels O’ Time Museum Board of Directors

Professional Qualifications:
• A bachelor’s degree
• Demonstrated leadership skills
• Senior nonprofit management experience
• Solid, hands-on, budget management skills, including budget preparation, analysis, decision-making and results-reporting
• Strong organizational abilities including planning, delegating, program development, and task facilitation
• Ability to communicate a vision of the Museum’s strategic future to staff, board, volunteers, donors, and the public
• Demonstrated fundraising results and donor relations
• Demonstrated skills to collaborate with and motivate staff, board members, and other volunteers
• Strong written and oral communication skills
• Computer skills to manage the Museum’s software and technology, including both Microsoft and Google Suites
• Ability to interface and engage diverse volunteer and donor groups
• Strong public speaking ability

Compensation
• Full time position with no benefits beyond salary
• Full time position with flexible hours with an expectation that significant weekend and evening hours will be required, especially during open season (May to October)
• During open season, expectation to be on premises most open hours and for Board meetings, Operations Meetings, and other committee meetings
• Compensation commensurate with experience and other qualifications
